Who are we?

When reading the words ‘we’, ‘us’ and ‘our’ we are referring to Penlane Ltd who also manage student properties owned by P. & G.A. Seddon.

What data we collect

We are required under the General Data Protection Regulations legislation to outline how Penlane Ltd  collect and use your data. Penlane Ltd collects and holds data in matters relating to:

  • The property you are renting through Penlane Ltd
  • The contract you have signed with Penlane Ltd or P. & G.A Seddon
  • The deposit protection certificate put in place to protect your deposit paid
  • Right to Rent Legislation as part of the Immigration Act 2014.

How we collect data

We collect your data through the information you give us in writing when signing the contract for your rented property and from email information you supplied to us.

What we do with data collected

  • We will only share your data with the parties required to facilitate the above matters.*
  • We will inform you and seek your permission before using your data for any other reasons.
  • Our lawful basis for processing is your written consent through signing the contract you have entered into with Penlane Ltd or P. & G.A. Seddon.
  • Your data is not used, sold or shared for any purpose of sales and marketing.
  • Our data retention periods follow the statutory guidelines.

*Primarily this will include when necessary; The Police, Law Enforcement and Security Services, The Home Office, University of Bristol, University of West of England, Bristol City Council, Mydeposits.co.uk, Energy companies (purely in respect of unpaid energy bills during tenancy).

Incorrect Data Reporting

If you become aware that Penlane Ltd holds incorrect data on you, you need to inform Penlane Ltd immediately to ensure our records are correct. You also have the right to:

  • Be provided with the data that we hold relating to you
  • Rectify / update the data
  • Ask us to remove your data
  • Restrict processing
  • Data portability
  • Object to our use of your data
